Civil Engineer / Diploma in Civil (Project Coordination & Management)

Key Responsibilities

1. Construction Rate Analysis & Database Management

• Develop and maintain a state-wise construction rate database (all 7 provinces of Nepal)

• Prepare and update spreadsheets covering:

  • Vendor lists

  • Raw material rates (cement, sand, aggregates, steel, etc.)

  • Rates for roads, buildings, bridges, river training, and maintenance works

  • Equipment and transportation costs

• Calculate and update Engineering - based rates (e.g., M15 concrete, stone masonry, etc.)

• Coordinate with vendors and suppliers to obtain accurate market rates

• Continuously update rates using data from ongoing company projects

2. Bid Documentation & Tracking

• Create and organize folders for each new bid

• Maintain structured records of:

  • Submitted bids

  • Awarded projects (running contracts)

  • Unsuccessful bids

• Track and record winning bid rates, including for lost bids

• Ensure all bid-related documents are properly stored and updated

3. Completed Project Analysis

• Organize documentation for completed projects

• Maintain and archive project completion certificates

• Perform post-project analysis, including:

  • BOQ rates vs actual execution rates

  • Planned vs actual work schedule

  • Payment timelines and billing cycles

  • Key challenges and project bottlenecks

• Transfer relevant rate data to the central rate database system

4. Equipment & Asset Management

• Maintain and regularly update the equipment database

• Track:

  • Equipment details and usage

  • Document validity (bill books, registrations, renewals, etc.)

• Notify management regarding expiring or missing documents

5. Ongoing Project Monitoring

For projects executed by the company:

• Develop and track realistic work schedules

• Monitor actual progress vs planned schedule

• Track:

  • Item-wise execution rates

  • BOQ rate performance

  • Creating Bills

  • Billing submissions and payment status

• Maintain records of:

  • Government interactions

  • Site conditions and challenges

  • Stakeholder communication and issues

For subcontracted works:

• Maintain separate tracking of performance and rates

6. Pre-Qualification & Bid Document Management

• Maintain and update all documents required for bidding:

  • Company certificates

  • Work experience records (maximum project values, etc.)

  • Audit and compliance documents

  • Manpower and technical documentation

• Ensure all documentation meets current legal and bidding requirements

Required Skills & Qualifications

• Bachelor’s Degree in Civil Engineering / Diploma In Civil

• Strong understanding of:

  • BOQ preparation and analysis

  • Construction methods and rates in Nepal

• Proficiency in:

  • Microsoft Excel / Google Sheets (very important)

  • Documentation and file management systems (Google Drive preferred)

• Strong analytical and organizational skills

• Ability to coordinate with vendors, site teams, and consultants

• Detail-oriented with a system-driven approach

• Exposure to large-scale government and infrastructure projects

• Hands-on involvement in bidding, execution, and strategy
